Online All the Time

AngelTrack is a cloud application, like Netflix and Google. It’s always there for you, on the internet.

Your current, prior, and upcoming PCR reports are online on your AngelTrack server, 24/7/365. With your mobile device you can review them, or work on them, from anywhere. When you finish a report, there is no uploading or synchronizing or exporting, or any need to return to the station. Your reports are already in your AngelTrack server, ready for QA and billing.

While on your way to see a patient, you can pull up that patient’s prior reports, regardless of who wrote them, or when they wrote them. Documents, DNRs, and EKG strips too.

 

Integrated with Dispatch and Billing

AngelTrack is “EMS in a box”, including dispatch and billing systems intimately integrated with its PCR. Therefore there is no importing or exporting, ever.

The PCR is always aware of all dispatch instructions, plus all patient information carried forward from prior trips regardless of which crew members attended. It can even pull up the patient’s entire history of run reports, and view them in full.

This unified system eliminates all the hassle of downloading dispatch and patient data to crews, and of uploading and organizing their run reports afterward. You will need fewer back-office employees, and those you keep will spend vastly less time moving papers and data between systems.

 

Automatic Narrative Composer

AngelTrack automatically writes your whole narrative using natural language and sentence structure, drawing on data you’ve already input into the PCR (vitals, assessments, procedures, etc.) and from dispatch records. Both your medical director and your billing department will approve of the composed narratives.

It’s not a “narrative helper”, or a sentence picker, or a phrase bank… it is a real live narrative composer. It writes a chronology-style narrative in one mouse click.

It writes the entire narrative at approximately 90% detail level. You just fill in the last 10% — the little details about the patient and the transport that a PCR can’t capture. It takes about 5 or 10 minutes to review the composed narrative and add the necessary details.

Capture Signatures Right on a Tablet or Smartphone

Need to collect a signature? Just whip out your smartphone and hand it to the patient — they sign with their finger right on the screen. And tablets work too of course — any internet-connected tablet will suffice.

Or use your smartphone to photograph the signed document, and attach the photograph in the PCR. Or scan the document in later and attach the scan. AngelTrack supports it all, and it’s all easy.

Because AngelTrack’s PCR is integrated with its dispatch system, it always knows which signature forms are needed. And of course you can modify any form’s legalese to suit your needs.

 

 

 

Smart Documentation Requirements

AngelTrack’s PCR is integrated with its dispatch, QA, and billing systems, and so it knows what information (patient, billing, medical, signatures, etc.) is needed for every call. It then tells the crew which data pages are required, by turning those buttons bright red. Other data pages may be recommended (in order to pass QA) but not required; these it turns dark red. In this way, a crew member can see immediately what is still needed in order to submit a complete report to QA.

In deciding which data pages are relevant, the PCR considers all of the following:

  • Service level requested
  • Billing settings
  • Primary complaint
  • Patient disposition
  • Crew member patch levels
  • Call progress (on scene / transporting / at destination / closed)
  • Call execution status
  • Prior authorization status (PCS/PAN)
  • ECG, ventilator, injury, and MI records as required by the complaint

…ensuring that all data needed for QA and billing is collected on the very first go.

 

Electronic PCS Forms with Touchscreen Signatures

Crews can collect both one-shot and multi-day PCS forms using any mobile device that has GPS and touchscreen. They can use their mobile device to open the form while on-scene, and then just hand the device to the LVN, RN, or physician to quickly fill out and sign. Here is an actual screenshot of the form on an iPad Mini.

The electronic PCS then enters AngelTrack’s paperless document system, automatically appearing in all relevant run reports.

 

Snapshotting Shows Patient Data Over Time

AngelTrack’s PCR uses snapshotting to store a patient’s entire history. Every week, a new snapshot is created for the patient, based on the prior snapshot. Changes to the patient’s medical and billing information apply to that week’s calls, and are carried forward to future snapshots.

This clever system saves crew members the onerous hassle of typing in the same patient information over and over again, every transport… while still preserving the ability to review the patient’s history, to see how they are changing over time.

It is also a major boon to the billing office. Snapshotting allows the patient’s insurance to change without disturbing the billing information collected for past services. Every dispatch shows the patient’s insurance as it was at the time of service, regardless of how it later changes. (Of course it is also possible for a supervisor or biller to directly edit any prior snapshot in order to make corrections.)

Together with its dispatch system, AngelTrack’s PCR collects all data necessary for NEMSIS 3 export/upload. NEMSIS 3.x data packages exported by AngelTrack can be imported by insurance filing software, and/or automatically uploaded to your state Department of Health to satisfy EMS reporting requirements.

The PCR has an online medical protocol viewer, section by section, for quick reference in the field. The full contents of the NASEMSO National Model EMS Clinical Guidelines is already pre-loaded into 61 sections and ready to go… or ready for customizing, using the full-featured WYSIWYG editor.

Likewise the online drug reference, which is also available right in the PCR, and is already populated with fully editable content.

For both the medical protocol and the drug reference, you can cut-and-paste new content directly from your Microsoft Word documents.

 

Collect Patient Portraits with your Smartphone

Use the camera in your mobile device to snap a photo of the patient for automatic attach to the patient’s records. The whole process requires just six mouse-clicks on a typical smartphone or tablet.

The portrait is 400×400 in color. Afterward, crews can check the portrait before picking up an unresponsive patient, to make sure they are taking the right person.

 

 

 

Flexible Administrator Options

The AngelTrack administrator controls all of the following options:

  • Can crew submit a report to QA even when AngelTrack believes that necessary data is missing?
  • Can crew cut and paste text to/from a report narrative, or must it be typed each time by hand?
  • How many hours after call completion are reports due? (Overdue reports prevent clockout unless waived by a supervisor. Yes, AngelTrack has a built-in smart timeclock.)
  • Do wheelchair transports require a signature from the receiving facility?
  • If AngelTrack knows that a prior authorization document is needed, should the PCR prompt the crew to ask for one while onscene?
  • What percent of PCR run reports are subject to QA? (0 to 100%)
  • Can simple dispatches (like wheelchair van transports) skip over QA if their times and mileages are within the normal range?
  • Must the attending specify ICD10 acute symptoms for emergent and ALS+ transports?

Barcode Scanning

Crews can use a barcode scanner, or the camera on a mobile device, to locate patient records on-scene. Find patient records by driver’s license or by any designated ID, including cards, ID bracelets, admission tickets, or anything else with a barcode.

Barcode scanning on a PC, Toughbook, or laptop requires a USB scanner gadget. Android devices can barcode scan using a free app from the Google Play store. iOS devices can use a keyboard-scanner app (available as of iOS 8) or an attached Linear Pro scanner and a free scan-to-web app from the Apple Store.

 

 

 

 

 

 

Fax Out the Entire Report from Anywhere

From any mobile device with VoIP software installed (such as RingCentral), or a mobile fax application that supports print to fax or open in features (such as myfax or metrofax), crew members can fax out the entire PCR report while they are still on-scene.

Gone is the ridiculous business of delivering a report to the ER by typing it in again on a hospital computer. With AngelTrack, crews just ask for a fax number, press AngelTrack’s PDF button, a few keystrokes in the VoIP software, and off goes their whole report… signatures, images, and all. The generated PDFs can also be emailed, copied to a flash drive, burned to a CDR, whatever works best.

Integrated Document Management

AngelTrack’s PCR is integrated with its paperless document management system, so that relevant documents automatically appear in the PCR and in the run reports.

For example, if a crew member scans a patient’s medication list during the morning transport to dialysis, that scan automatically appears in the return trip too. Likewise for PCS, PAN, and other prior authorization documents: once uploaded by the billing department, they automatically appear in the PCR and run reports of all relevant transports within the document’s date range.

DNR and DNR revocation documents, likewise, are intelligently managed. They appear, along with adequate warnings, in the PCR for all transports occurring during the document’s effective date. That means a DNR needs to be scanned just once, and then every call thereafter will automatically have a copy.

To attach another document, just photograph it using your mobile device’s camera. Or scan it the old-fashioned way at a computer.

 

Achievements

AngelTrack has a videogame-style achievement system, with 20 different achievements, each with 12 different levels… a total of 240 different ribbons to win. The achievements reflect the challenges and chores of a career in EMS.

Of those, 17 are automatically tabulated and awarded, while 3 are manually awarded by supervisors. Each crew member’s current achievements are displayed on their home page, for all to see.

 

Medication Usage Reporting

Supervisors can pull reports at any time showing medication usage as recorded in the PCR. A bird’s-eye report shows all medication usage over any date range, sorted by medication and route. From there, click to pull usage information for each medication, over any date range, sorted by crew member.

Wasted medications are tracked and reported. And narcotics usage reports highlight suspicious usage patterns that may indicate diversion.

 

Completeness Reporting

PCRs must be tolerant of missing information, for when patients are uncooperative or when the chaos of critical transport doesn’t allow time to collect much data. And yet we wish for crews to fill out their PCR forms as completely as possible.

AngelTrack solves this problem by offering completeness reports, which show how completely each crew member fills out their PCR forms on average. By looking at averages, we allow for the occasions when the data is just not available.

Completess reports can show company-wide performance, or zoom in on just one individual. Detailed reports are available showing exactly which PCR sections are fully filled-in versus which are tending to have too many unanswered datafields.
